RelayFlow LLC ("RelayFlow," "we," "us," or "our") provides the RelayFlow service. This Privacy Policy explains how we handle personal information when you visit relayflowing.com, sign up for the RelayFlow platform, book a demo, contact us, or receive our setup and support services.
For information that business customers upload about their own contacts, leads, employees, or customers, we generally process that information on the business customer’s instructions to deliver the service. That business is responsible for its own privacy notices and lawful instructions. If you are one of its contacts, direct privacy requests to that business first; we assist it as appropriate.
2. Information we collect
Information you provide may include your name, business name, email address, phone number, business and billing address, account details, subscription choices, booking details, support messages, and setup instructions. We also receive the content and files you choose to submit.
Information within a customer account may include contact records, communications, appointment details, forms, pipeline records, workflows, and related business data. With RelayFlow Guided, information visible to us may include the account data and settings needed to perform your requested work.
Our website and service providers may collect technical information such as IP address, browser and device details, pages visited, referral information, timestamps, and service activity. Cookies and similar technologies may support sign-in, checkout, forms, chat, booking, security, and remembering settings.
Payments are processed through the payment service presented at checkout, currently Stripe. Payment card details are entered into that provider’s payment interface. We receive billing and transaction information needed to manage the subscription, such as payment status and limited payment-method details. Do not send full card numbers or security codes in messages.
3. How we use information
We use information to create and administer accounts, process subscriptions and payments, arrange demos, respond to requests, provide support, carry out requested setup and account changes, and communicate about service matters.
We also use information to maintain and troubleshoot the service, protect accounts, prevent fraud and abuse, keep business records, and meet legal obligations. Promotional communications are sent only where permitted by law and with any required consent.
4. How information is shared
We use service providers for the platform, hosting, payment processing, communications, booking, and support. Relevant providers include HighLevel and its LeadConnector services for platform functions, Stripe for payments, Zoom for demos, and the email, phone, or messaging providers used for your communications. Information is provided as needed for the relevant service.
We may disclose information to professional advisers where necessary, in response to a legal obligation or valid legal process, to protect rights and safety, or in connection with a business transfer subject to applicable safeguards. We may also disclose information at your direction or with your consent.
We do not use advertising trackers. We do not sell personal information or share customer data with third parties for their independent marketing or cross-context behavioral advertising.
We do not share mobile phone information, text-message opt-in records, or messaging consent with third parties or affiliates for their own marketing or promotional purposes. Messaging service providers may process that information only as needed to deliver and support the messaging service.
5. Messaging and communication choices
If you opt in to RelayFlow text messages, messages may concern your account, requested services, appointment reminders, or the promotional topics described when you consented. Message frequency varies. Message and data rates may apply.
Reply STOP to a RelayFlow text message to opt out of that messaging program. Reply HELP for help, or email [email protected]. You may also contact us to withdraw consent. Opting out of promotional messages does not cancel a subscription; essential service communications may still be sent through another appropriate channel. Marketing consent is not a condition of purchase.
You can unsubscribe from marketing email using its unsubscribe link or by contacting us. When you choose Gmail or WhatsApp shortcuts, those services handle information under their own privacy policies.
6. Cookies and connected services
We do not use advertising cookies or pixels to track visitors for advertising. You can manage cookies through your browser settings. Blocking certain cookies may affect sign-in, checkout, chat, or booking. Where consent is required for any optional non-advertising cookies, we will obtain that consent before using them.
External pages and integrations have their own terms and privacy policies. Connecting an integration authorizes the data access described in its connection flow. You can disconnect integrations in the relevant service settings, although this may affect related features.
7. Retention and security
We retain information for as long as reasonably necessary to provide the service and for the purposes described here. Retention depends on the account relationship, the type of information, customer instructions, legal and accounting requirements, dispute resolution, and security needs. Information no longer needed is deleted or de-identified, subject to legitimate retention requirements and provider backup cycles.
We use reasonable administrative, technical, and organizational safeguards appropriate to the information and service. No storage system or internet transmission is completely secure. Keep your login details private and tell us promptly if you suspect unauthorized account access.
8. International processing
Our services and providers may process information in the United States and other countries where they or we operate. Those countries may have different privacy laws. Where legally required, appropriate safeguards must apply to international transfers. This policy does not promise that data is stored or accessed exclusively in the United States.
9. Your privacy rights
Depending on where you live and which laws apply, you may have rights to access, correct, delete, or obtain a copy of your personal information, restrict or object to certain processing, withdraw consent, or opt out of specified data uses. Some rights have exceptions. You may also have a right to appeal a denial or complain to a competent privacy authority.

RelayFlow is intended for adults acting for businesses, not for children under 18. We do not knowingly collect personal information directly from children under 13 through our website. If you believe a child has provided information to us, contact us so we can investigate and take appropriate action.
11. Changes and contact
We may update this policy to reflect changes in the service or our practices. We will update the effective date and provide additional notice or obtain consent when required by law.
